1. Who we are and how to contact us

ClearPath Careers ("we", "us") provides CV writing and career support services. We are the data controller for the personal data we collect and use in connection with our services.

You have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113. We would appreciate the opportunity to address your concerns before you approach the ICO, so please contact us first.

2. The personal data we collect

We collect only what we need to deliver our services effectively. The categories of data we may process include:

  • Identity and contact data: name, email address, phone number, location, preferred pronouns.

  • Professional profile data: career history, education, qualifications, skills, achievements, LinkedIn URL, target roles and sectors, salary bands or expectations where you choose to provide them.

  • Application materials: CVs, cover letters, LinkedIn profile information, job descriptions, interview notes and feedback you share with us.

  • Communications data: emails, messages, and call notes. We do not routinely record calls; where we propose to record a call we will tell you in advance and ask for consent.

  • Scheduling and payment data: appointment details via our booking tool, purchase details, and payment confirmations. Card and bank details are processed securely by our payment providers; we do not receive or store full card details.

  • Technical data: basic website analytics, IP address, device and browser type. We use only essential cookies and minimal analytics.

  • Referral data: how you heard about us, including the name of a referrer if provided.

Special category data

We do not require special category data (for example, data related to health, disability, race, ethnicity, political opinions, trade union membership, religion or beliefs, sexual orientation, or biometric data) to provide our services. Please avoid including such information in your materials. If you decide that including this information is necessary to represent your profile, we will only process it with your explicit consent or where you have made it manifestly public (for example, on your LinkedIn profile). You can withdraw consent at any time.

Data about other people

Your CV or materials may include personal data about other people (for example, referees). You are responsible for ensuring you have a lawful basis to share their details with us.

3. Where we get your data

  • Directly from you, by email, booking forms, calls, or file uploads.

  • From publicly available sources that you direct us to use, for example, LinkedIn or a portfolio site.

  • From referrals, introductions, or recruiters, with whom you have agreed to be referred.

4. How and why we use your data (lawful bases)

We process personal data only when a lawful basis applies under the UK GDPR and the Data Protection Act 2018.

We do not use your data for automated decision-making or profiling that produces legal or similarly significant effects.

5. Who we share your data with

We do not sell your data. We only share it when necessary for the purposes set out above, subject to appropriate safeguards and contracts. Typical recipients include:

  • Cloud productivity and storage: Google Workspace (Docs, Drive, Gmail).

  • Booking and video conferencing: Calendly or Google Meet.

  • Payments: Stripe and PayPal.

  • Website and forms: Squarespace form tools.

  • CRM and project management: Google Sheets.

  • Email newsletter: MailerLite.

We may share data with professional advisers, insurers, or regulators where required. We will never share your materials with employers or recruiters without your instruction.

International transfers

Some of our service providers are based outside the UK and the European Economic Area. Where personal data is transferred internationally, we rely on an adequacy decision or on appropriate safeguards such as the ICO-approved International Data Transfer Addendum to the EU Standard Contractual Clauses, together with risk assessments and contractual commitments.

6. Data retention

We retain data only for as long as necessary for the purposes outlined in this notice.

  • Client working files and deliverables are kept for up to 12 months from the last active interaction, allowing us to provide reasonable aftercare and updates, and then securely deleted.

  • Emails and messages: kept for up to 24 months, unless you ask us to delete earlier and we have no legal reason to retain them.

  • Invoices and payment records: kept for six years to meet legal and tax obligations.

  • Testimonials and consent records: kept while published and for six years after withdrawal for audit purposes.

  • Backups: data may persist in system backups for a limited period before being overwritten.

If you request that we delete your data, we will do so where we have no overriding legal basis to retain it.

7. Security

We use appropriate technical and organisational measures to protect your data, including access controls, strong authentication, encryption in transit, and vendor due diligence. Access to client files is restricted to personnel who need it to perform their role. We regularly review our suppliers and policies to ensure they meet our standards.

8. Your rights

You have the following rights under UK data protection law:

  • Access to your personal data and a copy of the information we hold.

  • Rectification of inaccurate or incomplete data.

  • Erasure of your data when there is no valid reason for us to retain it.

  • Restriction of processing in certain circumstances.

  • Objection to processing based on our legitimate interests.

  • Data portability where processing is based on consent or contract and carried out by automated means.

  • Withdraw consent at any time, where we rely on consent.

  • Complain to the ICO if you are unhappy with how we have handled your data.

9. Your responsibilities

  • Do not include unnecessary sensitive information in your materials.

  • Where you share details of other people, ensure you have a lawful basis to do so.

  • Keep your contact details up to date so we can deliver your service effectively.

10. Changes to this notice

We may update this notice from time to time. If we make significant changes, we will notify active clients by email. The latest version will always be available on our website.

These statements are designed for use on booking forms, checkout pages, and testimonial requests. Keep a record of consents.

A. Service booking or checkout

  • Privacy Notice acknowledgement: I have read and accept ClearPath Career’s Privacy Notice.

  • Special category data (optional): I choose to include special category data in my materials and I give my explicit consent for ClearPath Careers to process it solely to provide the service. I understand I can withdraw this consent at any time.

  • Marketing (optional): Add me to Job Market Insider for career insights and updates. I can unsubscribe at any time.

B. Testimonial request

  • I consent to ClearPath Careers using my testimonial for marketing purposes, which may include my first name, role, sector, and edited excerpts of before-and-after outcomes. I can withdraw this consent at any time, which will stop future use. Existing printed materials may continue until depleted.

C. Call recording (only if applicable)

  • I consent to this call being recorded for the purpose of note-taking and quality assurance. The recording will be kept for no longer than 30 days unless we agree otherwise.

Notes for clients

  • We will never publish or share your full CV or contact details without your written permission.

  • You control what goes into your CV. If you would like us to remove sensitive items, please notify us, and we will redact them accordingly.
